March 11, 2022Lawn Doctor of Southern Wake County is owned and operated by Richard Benbow, a native to the Raleigh area. Richard is a graduate of Appalachian State University, a member of Business Networking International RD10 Power Partners chapter, and a long standing member of the Garner Optimist Club which helps serve the youth, community, and law enforcement in the town of Garner, North Carolina. Richard is a dedicated husband, father, and grandfather as well as a business owner and active member of the community. Richard was operating the business with traditional telephone systems and answering services so he contacted us to learn more about our Voice over IP (VoIP) telephone systems so he can leverage newer technologies with his growing Lawn Doctor franchise.
Challenge
The goal was to make it easier to answer the telephones right away and make use of staff that are capable of handling the various existing customers, new customers, and general customer requests, without the need to send the calls to a service. Richard believes knowledgeable local professionals do the best job at handling client requests. Richard and his team, work at the office, at home offices and while out servicing customers. They need to be able to answer calls and be able to communicate with the whole team at all times.
Solution
We custom programmed a phone system for Lawn Doctor and made sure they could answer the telephone, and have the option to utilize an auto attendant to route calls to the appropriate department when needed. We installed Polycom VVX 311 Business Media phones at the main office and home offices of staff members. We also deployed our mobile application to all staff members. We programmed the business phone system to have the ability to ring a series of telephones first or go directly to the auto attendant. The auto attendant allows for the selection of 3 different options:
Press 1 if you are an Existing Customer
Press 2 if you are enquiring about New Service
Press 3 to leave a message in the General Mailbox
When dialing any of these options we Prefix the caller ID. An example, for option 2, New Service we prefix the caller ID with the word “NEW” which allows the person answering the call to be able to distinguish which option the caller selected. These calls are often then programmed to ring mobile applications and desk phones. If the calls are not answered, the calls are routed to dedicated voicemail boxes which are also labeled as Existing Customer, New Service, or General Mailbox. The voicemails are then emailed and transcribed and labeled properly so they can be managed accordingly. We also uploaded customized marketing on hold which is funny trivia about lawns and landscaping.
